When you register your duo corporation for VESTRA, we collect the following personal and team information:

• Corporate Entity Identity: Assigned Corporation / Syndicate Name and College / Institution Name.
• Delegate 1 (Executive Lead): Full Name, Primary Email Address, and 10-digit WhatsApp / Contact Phone Number.
• Delegate 2 (Strategy Co-Director): Full Name, Primary Email Address, and 10-digit WhatsApp / Contact Phone Number.
• Transaction & Order Telemetry: Unique System Passkey, Razorpay Order ID, Razorpay Payment ID, Timestamp, and Payment Status (Pending / Confirmed / Failed).

Note on Financial Information: We do not store, process, or have access to your sensitive banking details, debit/credit card numbers, CVV, or UPI MPINs. All monetary transactions are processed securely through Razorpay Payment Solutions Private Limited in compliance with RBI regulations and PCI-DSS standards.

3. How We Use Your Information

The information collected is strictly utilized for event organization, administrative management, and security:

• Processing team charter registration and provisioning access to the simulation.
• Generating official cryptographic Delegate ID credentials and verifiable PDF admission passes.
• Dispatching confirmation receipts, schedule updates, and urgent floor advisories via automated email (SMTP) and phone.
• Validating credentials and verifying identity at the venue entry security checkpoint.
• Internal audit and ledger verification to ensure compliance with the 100-team maximum limit.

4. Data Sharing & Third-Party Disclosure

We respect your privacy and enforce strict confidentiality protocols. We do not sell, rent, lease, or trade your personal information to advertisers or unaffiliated third parties. Data is shared exclusively with:

• Razorpay Payment Gateway: To verify payment authorizations, process team charter fees, and resolve billing disputes.
• Authorized Organizing Desk (SharkSphere & NST / ADYPU): Internal event coordinators for security, campus gate-entry clearance, and game logistics.
• Law Enforcement / Legal Obligations: If mandated by applicable Indian law, regulatory authority, or court order.

5. Data Security & Storage

Your personal information is stored on secure, authenticated databases with encrypted communication channels (SSL / HTTPS TLS 1.3). Access to the registration ledger is restricted to authorized administrative personnel only through multi-layered authentication.

6. Data Retention

We retain participant information for the duration necessary to conduct the VESTRA simulation, fulfill financial audit requirements, deliver post-event certificates, and satisfy statutory tax or legal regulations. Following the completion of the audit cycle, confidential records are archived or safely purged.

7. Delegate Rights

Under applicable Indian data protection principles, registered participants possess the right to:

• Verify the accuracy of their registered delegate details.
• Request correction or rectification of misspelled names or updated phone numbers prior to the event badge printing cutoff.
• Request assistance regarding their stored registration record by contacting the organizing desk.
